Rental Scout — Find FRBO Leads for Your PM Company

How to use Rental Scout (under Portfolio Finder) to find new For-Rent-By-Owner listings in your territory and turn them into property-management prospects every morning.

Rental Scout is the BDM tool inside Rescover. It surfaces a daily list of new For-Rent-By-Owner listings in your territory — every one of which is a fresh prospect for property-management services. Instead of manually scrolling Zillow looking for FRBOs, opening each one to see if the listing agent or the owner is the contact, and then digging up phone numbers, you start your day with a pre-filtered list.

Who this is for

Business Development Managers and sales reps at property management companies. If your job is to land new doors — i.e., bring on more properties to manage — Rental Scout was built for you.

How to get there

  1. Click Portfolio Finder in the left sidebar (it expands).
  2. Click Rental Scout.

Setting up your search

Rental Scout lets you search by territory in one of two ways. Pick whichever matches how you think about your service area.

By Zip Codes (default tab)

  1. Pick a State from the dropdown.
  2. In the Zip Codes field, type a zip and press Enter to add it. Add as many as you cover.
  3. (Optional) Use Exclude to filter out listings where you don't want to compete (e.g., another PM company's territory).
  4. (Optional) Use Show to fine-tune what's surfaced (recently listed only, not yet contacted, etc.).
  5. Click Search Listings.

By County

Switch to the County tab if you'd rather scope by county boundary than by individual zip codes. Same Exclude/Show filters apply.

Reading the results

Once you run the search, results show up in a table with these columns:

  • Property — the listing address. Click to open the property record and run an analysis on it.
  • Last Updated — when the listing was last refreshed by the source. Newer = hotter prospect.
  • Owner Name — the actual person behind the listing. This is the differentiator: most rental sites only show the listing agent's name; Rescover does the skip trace to find the owner.
  • Properties — how many other properties this owner owns in your covered area. A 7-property owner is a much bigger fish than a 1-property accidental landlord.
  • Viewed — whether you (or your team) have already opened this lead.
  • In CRM — whether this owner has already been pushed to your connected CRM.
  • Original Listing — link to the source (Zillow, Realtor.com, etc.) so you can verify the listing is still live.

The recommended daily workflow

  1. Open Rental Scout first thing in the morning.
  2. Run your saved territory search (or set it as default).
  3. Sort by Last Updated descending — newest leads are most receptive.
  4. For each prospect, click into the property to see analysis-ready details.
  5. Push promising ones to your CRM with one click; mark uninteresting ones to Ignored so they don't clutter tomorrow's view.
  6. Use Favorite Targets for owners worth a follow-up campaign.

Tips

  • Don't sleep on multi-property owners. Sort by the Properties column descending. An owner with 5+ rentals who's listing one themselves usually means they're testing whether to self-manage further. That's the moment to call.
  • Exclude your own clients. Use the Exclude filter to hide properties you already manage — saves the awkward "you're already our client" call.
  • Use Custom Targets if you have a different lead source. Rental Scout is FRBO-focused. If you have other prospect lists (e.g., expired listings, recent inheritances), Custom Targets imports those too.
  • Connect your CRM under Settings → CRM → CRM Connection so the "In CRM" column actually populates and you can one-click push leads.

Common confusions

  • "My results are empty even though I know there are FRBOs in my zip." Check that you've selected a state from the State dropdown — without that, the zip code field doesn't search. Also check your Exclude filter isn't filtering out everything.
  • "Why does the Dashboard panel for Rental Scout show different numbers than this page?" The Dashboard panel surfaces a slice for quick context. This page is the full live search. Use the Dashboard for at-a-glance; come here to actually work the list.
  • "What's the difference between Rental Scout and Custom Targets?" Rental Scout is automatic FRBO discovery — Rescover finds the listings for you. Custom Targets is for when you have your own prospect list (CSV, etc.) you want to bring in.
